Supplemental Contracts for School Personnel
Including Job Descriptions
The Ironton City Board of Education will grant supplemental contracts to school personnel for such extra, additional, and/or supplemental duties as the Ironton Board and the Administration deem appropriate, advisable, and necessary for the best possible implementation of the total school program in the Ironton City School System. This includes the setting of the remuneration for such services, the terms and conditions of the tenure, and any other aspects of the contractual agreement which the Board chooses to exercise.
The Superintendent of the Ironton City Schools shall put into writing, in the form of Administrative Rules and Regulations, the job description for each supplemental contractual agreement, which has been approved by the Board of Education.

Job Descriptions
Dean of Girls at Ironton High School
The duties and responsibilities of the I.H.S. Dean of Girls includes the following: making a determination of excused and unexcused absences; writing excuses each morning for all girls who have been absent the previous day and writing dismissals for the day; writing admittance to class for those early dismissals who return during the school day, in order to admit them to class; taking calls from parents who report daily absences, keeping a record of each of these calls; making calls to parents who do not report absences, attempting to determine whether students are truant or legitimately absent; keeping a class register and daily record so that total number of days (absence and reasons for) for each child can be calculated and accounted for; dating and filing all notes received from each girl as documentation of absence; making a report of absences that are questionable so that the attendance officer can make a house call; filing court charges for those excessive absences or truancies; checking students missing from teachers’ classes due to skipping; taking care of discipline cases reported to the dean by classroom teachers; making a progressive report each six weeks of all students who have been absent ten (10) or more days; counseling some students, as required in disciplinary actions or in personal problems at the student’s request; working with the school nurse in determining need for home instruction; planning and coordinating the scholarship banquet, which includes ordering supplies, making the menu, doing decorations, getting invitations printed and addressed, getting programs written and printed, compiling the lists of honor roll and scholarship students, typing approximately 300 certificates, and ordering trophies and other.
The duties and responsibilities of the student council advisor are as follows: hold regular meetings with members of the student council; supervise all student council activities, such as homecoming, bake-sales, dances, etc.; serve as liaison between council members and students to the administration; advise on questions of policy in school to council, and coordinate memorial to school.
It is the job of the advisor of the National Honor Society to get the names of those juniors and seniors who are eligible for the National Honor Society membership; to check and see if their activity sheets are up to date; to compose a ballot for election by teachers; to count the ballots; to arrange the induction ceremony; featuring last year’s members; and to order National Honor Society supplies: pins, certificates and/or other, each year.
The duties and responsibilities of the Science Club Advisor include: meeting with interested students; organizing, arranging for the selection of officers; aiding in the organizing and supervising of club activities (field trips, guest speakers, etc.); organizing and supervising fund-raising activities of the club; acting as director for the local science fair; and acting as coordinator for the district and state science fairs.
The work of the advisor for the German Club is as follows: organize and direct the election of officers; decide on activities, budget and money-making projects; meet on the second Tuesday of each month with each officer and club member; practice, with club members, a Christmas play; organize, supervise, and direct Christmas party for students and parents; conduct bake-sale and candy sales; organize and supervise a dance; and take club members to King’s Island.
The senior class advisor is responsible for the fund-raising activities used to pay the cost of senior color pictures for the high school yearbook. Fund-raising includes bake-sales, candy sales, and other.
The responsibilities and duties of the junior class advisor are as follows: making enough money for the Junior-Senior Prom (culmination of three earlier years of selling projects); working in charge of fund-raising in such activities as dances, bake-sales, candy sales (in sophomore year, in charge of basketball concession stands); organizing (as junior class advisor) all prom-related activities, including after-school meetings to discuss prom decorations; ordering prom decorations; storing decorations; arranging for food for prom, which includes after-school meetings with the parents; arranging for music for prom; decorating for prom; being responsible for pre-grand march setup; being responsible for after-prom dinner with students; being responsible for after-prom tear-down and clean up; and being responsible for all borrowed objects for after prom returned after the prom.
It is the duty and responsibility of the sophomore class advisor to supply all materials for sales in order to earn money for the prom, to collect and keep track of this money; and to oversee sales at the concession stand.
The freshman class advisor holds meetings with officers and homeroom representatives approximately one meeting each month and larger groups as needed; introduce freshman to concept of representative government, since most activities are selected by student representatives from ninth grade homerooms; plans fund-raising activities in order to raise funds for the Junior-Senior Prom; invites speakers from fund-raising organizations to present the students with optional activities; organizes committee to conduct the fund-raising (sales projects includes candy, team cups and mugs, bake-sales, “Candy-Grams” during Valentine week); and assumes the responsibility for securing permission and documentation for fund-raising and maintains records of money collected, deposited, and dispersed. (It has also been the responsibility of the advisor to arrange for collection for cards and/or flowers in case of death or hospitalization for member or relatives of the freshman class.)
The duties of the concession stand supervisor is to oversee the student help; as well as to garner the supplies to be used in sales; to clean the stand; to make signs stating items and prices; to arrange for and purchase items to be sold; to transport them to and from the grocery stores; to contact the soft drink company for fountain for concession stand, as well as ice machine; and to purchase and transport candy, popcorn, and paper goods to and from games. Student volunteers are selected and trained by the advisor and by the previous year’s student workers.
(I.H.S.) Advisor, Girls’ Athletic Association
The following are the duties of the Girls’Athletic Association advisor: attend and supervise meetings; organize and supervise fund-raising activities; assign people to officiate intramural activities; organize programs put on for various community groups; determine and pass out awards to be given at the end of the year; and assign points to be given for various activities.
The duties and responsibilities of the Art Guild advisor are as follows: meet every Tuesday and Thursday afternoons; maintain showcases and rotate art displays; present art shows in order to exhibit student works; design and construct scenery for I.H.S. musical; art-work for prom decorations and scholarship banquet; participate in art festivals; provide entries for art shows; design and make posters and signs for various functions and causes, as well as bulletin boards; organize field trips; design and make equipment for use within art classes, and make art objects to sell, such as stained glass, candles, etc.
The advisor and the principal together decide which yearbook publishing company and which professional photographer to contact by bidding procedure, and set cost of the yearbook to the students. The advisor must then choose and supervise the editorial staff and an advertising staff. After this is complete, the job falls into three (3) categories, raising funds: compiling the book, and gathering photographs and copy.
The director of the Drama Club or Department has the following duties and responsibilities: establish the play budget; promote the play; visit and talk to various civic clubs; read plays throughout the summer for play selection; conduct and supervise the club, as prudent and necessary; practice players and orchestra; and construct the set and prepare the stage for production. The director is responsible for the overall direction and supervision of all club activities and any and all activities, which are apart from this agreement.
The job description for the director(s) of intramural athletics for Ironton High School includes the following responsibilities: schedule games for students in various non-interscholastic activities; establish teams for different intramural activities; officiate contests; establish awards system for intramural activities; teach teamwork, discipline, dependability, and training to students who usually are not members of the high school’s athletic teams; and do any other work with this assignment.
The Ironton High School cheerleader advisor has the following duties and responsibilities:
Summer Practice – Advisor meets with girls 2-3 times a week.
Summer Camp – Advisor drives girls to camp and stays with them.
Fund-Raising - Advisor is responsible for fund-raising activities and collecting money.
Money raised goes toward camp, uniforms, mums, and etc.
Practices – Advisor meets twice a week with girls during football season, and once a week during
basketball season.
Football - Advisor attends all games and drives cheerleaders to all away games.
Basketball – Advisor attends all games and accompanies cheerleaders on the bus with team and coaches.
Spring Tryouts – Advisor organizes tryouts and attends all practices.
The job description for the advisor for the I.J.H.S. newspaper includes the following duties and responsibilities: publish five (5) papers during the school year; hold two or three meetings prior to publication of each issue, and one meeting after the sale (after school); supervise the photography for the paper; type the paper on the computer onto a disk; plan text, audit same; plan layout and photographs; take paper to printer; pick up after finished; sell the papers at school; and pay the bills through the appropriate channels.
The duties and responsibilities of this assignment are to: supervise photography for the yearbook; write all captions and text; alphabetize all mug-shots of students for the “class” section; label them correctly; draw the layouts for each page and send them to the publisher; and when proofs are returned, check proofs and return them to the publisher; handle yearbook sales and pay the bills through proper channels; and seek increased student involvement.
The duties and responsibilities of the guidance counselor are as follows: coordinating the scheduling of all students, including the assigning of homerooms, locker numbers, and the appropriate phase for each class. The guidance counselor also assists the principal’s office during the opening and closing of school, during which time, the counselor records end-of-year grades on the permanent record cards, identifies end-of-year failures in each subjects, and coordinates the summer tutoring for failures, which includes writing the IEP for the failing student and tutor. The counselor also, prior to school opening, schedules new students who have not pre-registered. Other duties involve the preparation of materials necessary for the staff, homeroom lists, student class rosters, locker cards, student schedules and student handbooks.
The Ironton Junior High School cheerleader supervisor directs and performs the following duties and responsibilities: the supervisor supervises all games and practices. Practice begins before school starts. During football season there are two (2) practices each week and one (1) game a week for seven (7) or eight (8) weeks. Practices are held two to three times a week during the weeks between football and basketball season. During the basketball season there is only one (1) practice per week, and two to three games per week. The supervisor attends all games (rides the bus with the cheerleaders) and practices. The supervisor attends all “Fun Nights” and takes care of concessions. The supervisor (or advisor) observes cheers and stunts and tries to help better the appearance of the squad (has input on how these things are done). The advisor is responsible for disciplining members of the squad if rules are broken. The supervisor (or advisor) is also responsible for coordinating the selection process.
Directors
The duties and responsibilities of the director of the girls’ intramural program include: setting up teams; making schedules, officiating, instructing, recording attendance; and awards determination, among other duties which are necessary to get the job done. The sports involved in the intramural program are volleyball, basketball (including hoop-shot competition) and softball.
The boys’ intramural program at the Ironton Junior High School is directed and supervised by the Boys’ intramural program director. The overall program includes boys’ basketball, weightlifting, the lake shore hike, slow-pitch softball, and an intramural tennis tournament. The I.J.H.S. program begins in March, at the end of the basketball season. Activities run into May, near the end of the school year, the only exception being that of the spring break. The duties and responsibilities of the program director include the planning, directing, executing, and supervising of all activities associated with the total program.
Duties: Select cast with director; train singers; recruit and rehearse orchestra; coordinate music with efforts of the choreographer; and assist with all other aspects of the play – blocking, speaking, set, sound, etc. There are various meetings and the Assistant must study before rehearsals actually start. The drama director and the assistant band director select the play and prepare for rehearsal. The orchestra is recruited. The set and many other things are usually planned out before the rehearsals begin.
Duties: Assist with all rehearsals of the high school band; assist with all football games, parades, some basketball games, concerts, and any other functions of the high school band; and direct the Ironton Junior High School Band at all of its functions (one football game, one basketball game, five parades, and two public concerts). The assistant band director also assists with rehearsals of the high school band (August), gives individual instruction, helps plan drills, and works with printed music.
The job description for the O.W.E. coordinator (for summer) are as follows: orientates next year’s students with daily meetings, visits the home of each participating student and talks with the parents about the program, secures jobs for students for coming year and establish rapport at job stations for visits, and prepares paperwork, records, and other for the coming year.
