Payroll Clerk

 

A.  Responsible to:  Superintendent / Treasurer

 

B.  General Duties:

 

                Prepare all payrolls and maintain the payroll records and files of the Ironton City School District in an up-to-date, accurate manner.

 

C.  Qualifications:

 

      1.  Training and experience in financial computers.

      2.  Extensive training and a minimum of three (3) years experience in payroll preparation.

      3.  Character to obtain bonding provided by the school.

      4.  Highly qualified in the use of calculators and other office equipment.

      5.  Ability to work cooperatively and confidentially with all school personnel.

      6.  Ability to organize information, follow through with minimal supervision, and meet established

           deadlines.

      7.  High ability in accuracy and reporting.

 

D.  Specific Duties:

 

      1.  Payroll Activities:

 

           a.  Preparation and distribution of payroll notices, paycheck schedules, and other payroll documents.

           b.  Assist in the enrollment of all employees with W-4 forms, retirement forms, fringe benefits,

                enrollments, etc.

           c.  Maintain payroll registers, voluntary deductions, and other related records in a fully accurate

                condition.

           d.  Process hourly time sheets, pay deducts, supplemental pay, and related pay adjustments.

           e.  Enter all payroll data into the computer.

           f.  Distribute paychecks following an established procedure of time and method.

           g.  Answer employee questions regarding payroll.

 

      2.  Payroll Reports:

    

           a.  Reconcile payroll statements monthly.

           b.  Prepare special check and balance monthly records for tax sheltered annuity companies,

                insurance companies, credit union, dues deduction, STRS, SERS, taxation agencies, etc.

           c.  Prepare W-2 forms, earning reports, and other documents as necessary.

           d.  Prepare monthly, quarterly, and annual reports as required by taxation agencies, retirement

                system, etc.

           e.  Maintain record of personal leave, absence, vacation, etc.

 

       3.  Other Duties:

 

            a.  Perform daily activities required for the computer system.

            b.  Maintain files and all other computer materials in the proper location, totally organized, with

                 extreme care that it is not destroyed or lost.

            c.  Responsible for training to properly run payroll of other individual(s) in case of the incapacity

                 of the Payroll Clerk.

            d.  Perform other duties as requested by the Superintendent / Treasurer.
